The estate’s multiple outdoor terraces, spacious pool deck, and elegant alfresco dining area create a seamless flow for ceremonies, receptions, and cocktail hours.

The villa’s two infinity pools offer stunning vantage points, while the dedicated outdoor sala and bar provide a sophisticated space for guests to mingle and celebrate under the stars.

Guest Capacity

The Aquila Villa’s Main Event can host up to 150 guests.

Minimum Nights

For Peak Seasons (Christmas & New Year), the minimum stay is 10 nights.

Do I need an Event Organizer

All events and weddings with more than 24 guests for Villa AQUILA must be organized by Event Organizers (EOs).

Event Organizers (EOs) are professional individuals or companies contracted to plan, manage, and execute events at the villa.

Event Fees and Policies

101 to 120 guests 5,000 USD + VAT per day

Events typically involve outside equipment (e.g., tables and chairs) and third party suppliers.

We understand that many overseas guests fly in for your special day, so you may wish to hold a follow on event.

If the Lessee wishes to hold a second, smaller event please do let us know and we will advise of the second small event fee, which will be discounted.

Renting the villa does not automatically entitle guests to hold events; permission is required from The Aquila Villa. All events require outside catering.

Event Venue Preparation

  • All floors must be protected, and specific tape must be used that does not leave marks. The second floor is restricted to villa guests only.
  • Any potential damage must be prevented or safeguarded. No foaming or other substances are permitted in the pool water.

Rundown

The professional planner must submit a rundown of the proposed event schedule, including full details of the expected number of guests, wedding ceremony, dinner, entertainment, DJ, live band, and other activities to the management company four weeks prior to the event.

EO’s Presence and Supplier Policy

EOs must be on-site at all times during the event, including preparation and dismantling periods. Suppliers are not allowed on-site without an EO present.

Event Design

Staging

  • Staging/walkways over the pool areas. Staging walkways are acceptable as a setup prop. However, these structures cannot be erected in the pool, the supports must be outside of the pool area. These structures need to be correctly built and installed to ensure safety and to avoid damage to pool finishes.
  • Staging/walkways can only be used for the ceremony and first dance but not a staging/walkway for the guests to dance on.

Marquee

  • Marquees and other weather protection structures are recommended during the monsoon period May – October and must be free-standing.
  • The responsibility for ensuring the effectiveness and sturdiness of the setup in providing weather protection lies solely with the Leese, and Event Organizer (EO).

Electricity

Villa electricity is not available for events; the lessee and EO must provide an alternative power source sufficient for the event’s needs.

Property Policies

Villa Rules

  • No shoes are permitted in areas with wooden floors.
  • The villa’s kitchen and dining facilities are not for event use. EOs/Caterers must set up their facilities outside and ensure complete cleanup.
  • Garden furniture or sunbeds should not be used during the event.
  • Villa speakers cannot be used for events.
  • No komloys, fire fountains, sparklers.

Furniture

All property furniture must stay in place unless authorized by the Property Management. Garden furniture or sunbeds should not be used during the event.

Equipment

All necessary equipment, such as tables, chairs, china, cutlery, glasses, serving dishes, and kitchen equipment, must be supplied by the outside caterer. The caterer is expected to clean up and dispose of all rubbish the same night.

In-Villa Staff

Villa Staff are responsible for regular operations and cannot assist with event preparation, catering, or post-event cleaning. Villa Staff must not be asked to perform duties related to the event by the planner, planner’s staff, or outside catering company.

Emergency

EOs must have an emergency plan in place, including medical emergency procedures and contact information for local emergency services.

Terms and Conditions

Cleaning

The Property must be cleaned up and the rubbish must be removed the same night as the event. If further cleaning is required by Property staff, an additional cost will be charged to the professional planner, as per below:

Security Deposit

A security deposit is required prior to the arrival date:

Fee 10,000 USD

The deposit will be taken on a credit card 48 hours before arrival or by bank transfer 10 days before arrival. It will be released or returned within 48 hours after checkout, subject to property condition assessment.

In the event that the Property incurred damages or any breakages during the stay of the Lessee and event, the costs will be deducted from the security deposit. The condition of the property will be judged at the sole discretion of the lessor or the representative of the property.

If the value of damages or breakages exceeds the amount of the security deposit, the Lessee will be held liable to pay the outstanding amount to the Lessor as soon as possible.

Jurisdiction

Any contract that is made will be with the acceptance by both parties of these terms and conditions, which are governed by Thai law, and both parties will submit to the exclusive jurisdiction of the Thai courts.

Fireworks and Special Effects

All fireworks and fire shows must be pre-approved by Villa Management and conducted by a professional operator. Fireworks displays must be launched from a barge on the ocean with all necessary precautions taken to protect the roofs of the Villa, neighboring properties, and surrounding landscapes from fire hazards and completed by 10 pm. The use of fireworks is prohibited during the dry season.

The Event Organizers (Eos) and/or its Leese are required to obtain both liability and comprehensive insurance that covers any potential damage to the Property, neighboring properties, and landscapes. The property management shall not be held liable for any claims or accidents related to the use of fireworks or fire shows.

All relevant license and/or permit(s) must be obtained for this purpose. The property management reserved its right to request for the said license and/or permit(s) at any time and has the right to prohibit the fireworks, its preparation or any performance or action that may cause damage to the Villa or its neighbors. Lanterns are prohibited under Thai law.

Lanterns and pet/animal shows are forbidden by Thai Law.

Restrictions

Smoking

Smoking is prohibited inside the Villa and is only allowed in designated outdoor areas. Any violation will result in a fine of THB 20,000. Additionally, any damages or extra cleaning required due to smoking will incur additional fees.

Parking

  • Parking is limited to four cars per villa carport, with additional vehicles allowed for loading/unloading only. Extra vehicles must be off-site at least one hour before the event.
  • Guests attending the event must not park blocking the common access roads of the estate or blocking the entrances/exits of other villas under any circumstances.

Property Rules

  • Owing to the amount of liquids that tend to wind up in the trash, all rubbish must be double bagged to prevent spillage.
  • If any circumstance arises that needs the swimming pool to be drained and refilled, the cost to do so will be notified by the Property management, plus any loss of follow-up bookings during the three days that the pool is being refilled.
  • Any candles must have a base to prevent any spillage of wax.
  • No cable trenches to be dug into lawns or gardens. Cables should follow the edges of concrete or lawns wherever possible.
  • No nails or other fixtures to be placed into the trees or building structure without specific approval from the Property management.
  • Rose petal pathways for ceremony etc. need to be cleaned up immediately after the ceremony.
  • Must take care of preparing the bride’s and groom’s attire; the villa does not provide laundry services for these items and cannot supply them.

Noise

Outdoor entertainment is permitted from 8 am to 10 pm with a maximum volume of 70 decibels. Post-10pm gatherings with non-villa guests are allowed in the living room until 2am with a maximum volume of 70 decibels and doors closed.

Non-Resident Guests

All services terminate at midnight, and non-resident guests must vacate the premises no later than 2 am. Additional fees may apply for late departures.

Drones

Drones are permitted within the villa area, provided necessary registration, permits, or licenses are obtained in accordance with Thai law. The lessee is responsible for any violations or damages resulting from drone usage.

Environmental Restrictions

The Lessee must adhere to strict environmental standards, preventing excessive noise, harmful smells, or any other environmental hazards that could negatively impact the Villa, neighboring properties, or the surrounding environment. Non-compliance may result in immediate termination of the agreement and potential legal action.

Health and Safety Compliance

All events must comply with local health and safety regulations, including fire and food safety. Violations may result in immediate termination of the agreement and prosecution.

Prohibited Activities

Illegal activities, gambling, and the use of illegal substances are prohibited. Discovery of such activities will result in the immediate termination of the event and agreement, with no refund provided.
